Both give you professional email at your own domain, documents, calendars, video calls and shared storage. Both are reliable and widely used. So how do you choose? The honest answer is that either will serve most small businesses well, and the right pick usually comes down to how your team already likes to work.

What they have in common

Before the differences, it helps to know that the core is very similar. With either one you get email at your own domain name, a shared calendar, a way to write documents and spreadsheets, video meetings, and cloud storage that keeps your files safe and reachable from any device. Both let you add and remove staff accounts easily, and both keep your data backed up on their side rather than on a single office computer.

Where Microsoft 365 tends to win

Microsoft 365 is often the natural choice if your work leans on the traditional Office programs. If your team lives in Word, Excel and PowerPoint, and especially if you exchange complex documents with clients, accountants or suppliers who use them too, Microsoft 365 keeps everything familiar and avoids formatting surprises.

Rather than getting lost in feature lists, it usually helps to answer a handful of down-to-earth questions.

  • What do your clients and suppliers use? Matching them reduces friction with shared documents.
  • Do you need the full desktop Excel and Word, or are the browser versions enough?
  • How much does your team collaborate live on the same files at the same time?
  • Which one does your team already know? Familiar tools mean less training and fewer support calls.
  • Are you mostly on Windows laptops, or a mix of phones, tablets and different computers?

You are not locked in forever, but moving takes care
